Office Manager, Health and Safety

 
Digital Extremes is seeking an Office Manager, Health and Safety to join our team! The Office Manager, Health and Safety is responsible for the day-to-day office administration, office upkeep, health and safety, and HR/employee support.


RESPONSIBILITIES
  • Performs a wide variety of day-to-day office administrative support
  • Uses independent judgment to review, screen, manage and/or distribute communications and correspondence (e.g. telephone calls, incoming mail/documents, e-mail messages); identifies items requiring priority attention and prioritizes and facilitates communication throughout the office
  • Reviews incoming materials (e.g. telephone calls, incoming mail/documents, e-mail messages) to determine their disposition and initiate action required; follows up to resolve problems and ensure appropriate and timely completion. Updates and advises on progress, problems and issues and recommended actions
  • Produces a variety of materials including presentations, reports, forms, invitations and correspondence using appropriate computer applications, from rough notes or instructions
  • Coordinates and arranges on-site and off-site meetings and events including logistics (e.g. Communication, location, meals, refreshments, equipment, materials/packages, RSVPs and travel/accommodation)
  • Prepares for, attends and records minutes of meetings as requested including the preparation and distribution of agendas, minutes and other meeting materials. This may involve follow up actions such as maintenance of action logs, notes and related documentation
  • Attends meetings and participates on committees and internal planning groups
  • Maintains a high level of confidentiality and professionalism at all times
  • Adheres to the duties of workers, as stipulated in Occupational Health and Safety Act, applicable occupational health and safety policies, procedures and protocol
  • Interprets and applies health and safety related legislation, standards, and guidelines
  • Conducts assessment of site-specific requirements which include emergency protocols, safe work plans and procedures and regulatory requirements to ensure compliance
  • Assists with ergonomic assessments and occupational hygiene
  • Assists with auditing site safety performance and evaluating program implementation and recommends corrective actions as needed and follow up to ensure implementation
  • Provides general support to visitors
  • Assists with seating map updates, desk assignments and parking passes for employees
  • Sets up conference rooms, lounge etc. for meetings, special events; order food or beverages as required
  • Courier management
  • Orders and maintains all office supplies
  • Packs IT equipment for shipping purposes
  • Sends monthly birthday amazon gift cards
  • Decorates studio space for various events
  • Assists with draws and prizes
  • Assists with ordering company swag, prepare new hire boxes, and employee appreciation items
  • Liaises with facility management vendors, including cleaning, catering and security services
  • Maintains hygiene stations; sanitizer, soap, etc
  • Replenishes first aid kits
  • Maintains the office condition and arranges necessary repairs with Citi Plaza Management
  • Interact and communicate with judgment and discretion
  • Special projects and administrative tasks as needed
  • Errands as required (vehicle is required for this role)
  • Other responsibilities as assigned
REQUIREMENTS
  • 3+ years of administrative experience
  • 2+ years in Health and Safety
  • Knowledge of standard office administrative practices and procedures
  • Working knowledge of Microsoft Office products (Word, Excel, PowerPoint) and G-Suite
  • Ability to interpret and apply health and safety related legislation, standards, and guidelines
  • Experience in developing and delivering training, familiarity with ergonomic assessments and occupational hygiene
  • Experience with auditing site safety performance and evaluating program implementation. Able to recommend corrective actions as needed and follow up to ensure implementation
  • Excellent communication (verbal, written and listening) and interpersonal skills
  • Demonstrated organization, project management, record keeping, problem solving and decision making skills
  • Demonstrated commitment to continuous improvement principles and practices
  • Self-motivated, focused, positive attitude, flexible, and proactive
  • Ability to develop, organize, and implement office procedures and systems
  • Ability to lift up to 20 pounds
  • Must have a car and a valid driver’s license
