IT Executive Assistant
 

Use your initiative and exemplary administrative and technical skills to provide executive support to the Vice President Corporate Services & Chief Information Officer.

 

If you are professional and calm under pressure, are tech-savvy (both Microsoft as well as the Google Workspace products) possess excellent writing skills, are highly motivated and organized and are experienced in recording meeting minutes, you are ready to play a key role as an IT Executive Assistant at London Hydro. Reporting to the VP Corporate Services & CIO, or designate, you will provide confidential administrative assistance to the Vice President and Directors within London Hydro’s Corporate Services division.

 

Key duties and responsibilities of the Executive Assistant role will include:

 

  • Acting as Coordinator for all Corporate Services projects and activities.
  • Attending, recording, and preparing official meeting minutes requiring a high degree of confidentiality.
  • Proactively managing calendars, meetings, preparing agendas, creating meeting minutes, reserve, and preparing conference room/facilities.
  • Arranging and coordinating travel schedules and reservations as needed.
  • Organizing and coordinating purchase requisition requests and invoices for the department.
  • Preparing and coding expense reports, compiling all supporting receipts. Entering weekly time for staff and approving time entry as required.
  • Supporting budgets and actual costs reconciliation activities as required.
  • Researching, analyzing, and preparing reports, presentations, and correspondence.
  • Providing support for contract tracking, routing and approval.
  • Organizing and coordinating purchase requisition requests and invoices for the department.
  • Assisting with on-boarding new hires in IT.
  • Maintaining files and databases for tracking progress on projects within the department. Maintaining both confidential and general files,
  • Reviewing, proofreading, and editing correspondence, reports, and presentations for the department..
  • Reading and routing incoming mail, preparing outgoing mail and correspondence, including e-mail.
  • Planning, organizing and executing team and department events.
  • Receiving tenders, maintaining record of submissions, and attending official openings.
  • Adhering to all Occupational Health & Safety Act rules and regulations, the EUSA rule book and London Hydro work practices.
  • Performing special projects and other related duties as assigned.

 

 

Essential Qualifications

Your profile as the qualified IT Executive Assistant we seek will include the following strengths:

  • Community College Diploma requiring more than 2 years to obtain or equivalent.
  • Prior experience supporting an Information Technology management team including support to a Director level and above.
  • Position necessitates a high degree of confidentiality at all times.
  • Proficiency using personal computers with the appropriate software packages (MS Office, Google Workspace suite products).
  • Detailed oriented in nature with the ability to quickly create meticulous meeting minutes.
  • Excellent verbal and written communication skills, strong organization and multi-tasking skills.
  • A customer service and growth-oriented mindset..
  • Ability to prioritize tasks, manage time, change context as needed, and work effectively without the need for constant direction.
  • Valid Class G Driver’s License.
