Who You Are:

As the MSc Recruiting Associate, you are responsible for developing and managing relationships with MSc applicants at all stages of the recruitment and application process. You will contribute to increasing the overall number and offers and conversion rate of high-quality applicants from Canada and abroad. As an excellent communicator, you are eager to represent Ivey and promote the MSc Program to prospective students at university fairs – whether in a one-on-one setting, virtual, or a larger group presentation. In addition to the interaction with prospective students, you will focus on coordinating initiatives, social media account content, and executing marketing and communications efforts, all in effort of supporting the recruiting and admissions strategies.

What You’ll Do: 

Recruiting Activities & Events 

  • Plan, develop and execute recruiting events in collaboration with the Associate Director, with the goal of increasing “brand awareness” of Ivey and interest in the MSc in Management with university students from around the globe.
  • Execute sales and marketing strategies to increase the number and quality of applicants for Ivey MSc in Management.
  • Conduct presentations (in-person or virtually) at university fairs, representing and promoting Ivey and the MSc Program through key messaging, attracting prospective students to apply, and building relationships with university officials.
  • Provide program information to prospective applicants interested in attending Ivey, including the different streams, admissions criteria, application process, etc. through one-on-one informational interviews or group presentations.
  • Build and maintain a contact list of high-quality candidates from recruiting events and individual inquiries, nurturing prospects through high touch service to grow a quality pool of diverse, well-rounded applicants and maximize the conversion of applicants to confirmed Ivey MSc students.
  • Update and manage contacts in the Client Relationship Management (CRM) software, ensuring the integral and complete tracking of records for a consistent flow of communications with applicants and incoming students.
  • Manage and promptly respond to a high volume of inquiries (phone, e-mail, in-person) during peak recruitment cycles from prospective/current applicants, parents, university officials, etc.; work closely with other members of the Recruiting and Admissions team, staff from MSc Program Services team, faculty, and other Ivey/Western administration as necessary, to provide contacts and information to applicants.
  • Responsible for budget monitoring and reporting for certain events, including tracking incoming and outgoing expenses.
  • Collaborate with the Admissions Coordinators to design and send out online offer packages to students
  • Participate in the assessment of Ivey MSc applications, as required.
  • Assist, and at times, coordinate logistics for Canadian and international university fairs (both undergraduate and graduate) and independently planned information sessions. 
  • Deliver and, at times, oversee the delivery of program information both in one-on-one and presentation settings with various individuals/groups inside and outside of the university.
  • Work with current students (Ambassador Team, Social Media Team, other contacts) to match current students with prospective students who share goals, backgrounds or geographic origins to help further engagement and promote the program.

Communications 

  • Develop, manage, and grow the Ivey MSc presence and brand through digital media channels such as Twitter, Facebook, Instagram, Reedit, TikTok, blogs, and other strategically relevant digital properties.
  • Engage with current students through the MSc Social Media Ambassador Team
  • Collaborate with the Associate Director and Admissions Coordinators to design and create strong, consistent communication plans for the entire recruitment cycle to maximize inquiry management and service response for prospects, applicants, and current MSc students across all MSc Program streams.
  • Recommend, update, create and source new, relevant content for the MSc Newsletter, social media, MSc website and other marketing materials; work with Marketing & Communications, where required, to support efforts.
  • Research and stay up to date on current trends to maintain relevancy and engagement with prospective and current students; identify and recommend new ideas for the website, social media, podcasts, videos, and other external communication channels.

Research & Analysis 

  • Use a variety of analytic tools (Google Analytics, Facebook Analytics, etc.) to continually improve online metrics through testing and new initiatives.
  • Perform a competitive analysis and maintain awareness of the Ivey MSc competitive positioning and current recruitment practices within the market place. 
  • Provide feedback to the Associate Director on competitor activity and proactively identify new recruitment opportunities.
  • Analyze marketing and communications activity data to identify trends, reporting results to the Associate Director and recommending strategies to react accordingly.

What You Have: 

Education & Experience

  • You’ve successfully completed a University degree, (BBA, BComm, HBA, Preferred)
  • You have a minimum of 2-3 years relevant experience

Skills & Abilities 

  • Demonstrated initiative; ability to manage multiple initiatives to completion within tightly prescribed timelines
  • Project management experience required
  • Event planning experience required
  • Demonstrated ability to provide guidance to prospective applicants
  • A strong understanding of Social Media platforms
  • Sales or marketing experience an asset
  • Excellent computer skills and experience using the Microsoft Office suite (Word, Excel, PowerPoint, Outlook, Zoom, etc.), Email Campaign software and database management
  • Excellent oral and written communications skills and the ability to make compelling presentations
  • Excellent analytical skills to monitor trends and recommend strategies to react accordingly
  • Demonstrated ability to present and articulate an idea, concept and/or factual information
  • Strong customer service and relationship management orientation
  • Excellent time management skills
  • Team player with a willingness to actively contribute to all activities and events related to the success of Masters programs at Ivey
  • Ability to work effectively in a team and with many varied stakeholders
  • Demonstrated collaborative qualities
  • Willingness to travel (domestically and internationally); possess a valid passport and driver’s license and be eligible for car rental agreements
  • Flexibility with work hours (occasional evenings, early mornings and travel overnight are regularly required throughout the year)
  • Vacation may be restricted at certain times of the year

Location: 

London, Ontario 

Position Type:

Full-time (35/hours a week) 3-year renewable contract.

Hiring Range

Based on the salary band for this role, candidates can expect to be offered a starting salary in the range of $55,900-$69,900. When determining salary, Ivey Business School considers the external market, candidate qualifications, as well as internal equity. Once in the role, successful candidates will have the opportunity to progress through the range and beyond the hiring range of the band, through annual increases.
