Hiring Range: $55,900-$69,900.

Position Overview:

The Talent Associate is an integral member of the Human Resources team, supporting faculty across all programs by recruiting, hiring, and coordinating over 300 student graders, research assistants, and teaching assistants. Additionally, the Talent Associate supports Ivey leaders and employees in full-cycle talent acquisition and helps implement human resources practices, policies, and programs. They provide client-focused support, hire top talent, and ensure a great candidate experience, all while aligning with Ivey’s vision, values, and strategic priorities.

This role involves building strong relationships with stakeholders and candidates, handling confidential information with care, and managing multiple recruitments simultaneously to meet timelines. The Talent Associate is passionate about recruitment, equity, diversity, and inclusion (EDI), and works collaboratively to deliver value-added talent acquisition services.

In addition to these responsibilities, the Talent Associate tracks weekly timesheets, seeks approval for hours worked from supervisors, and submits them to payroll promptly. They also assist the Human Resources team with additional projects or tasks as required, demonstrating flexibility and a collaborative spirit.

Responsibilities:

Faculty Development Recruitment and Administration

  • Prepare position descriptions and post on Working at Western, liaise with candidates to ensure timely application completion, and coordinate with faculty to select preferred candidates.
  • Conduct reference checks and ensure proper onboarding for new hires, completing necessary paperwork promptly and accurately.
  • Review faculty Grader Budget Allocations to have a full-scale understanding of hiring needs and available positions.
  • Prepares contracts and personnel documentation, verifies student employment eligibility, secures Faculty approvals, and monitors the flow of information through Peoplesoft.
  • Provide support to the Faculty Assistants regarding changes to the recruiting process and any student hiring matters where appropriate.
  • Prepares part-time contracts and contract renewals for Graduate Student Research, Undergraduate Student Research and Post Graduate Student appointments. 
  • Liaises with Western Human Resources, Ivey Payroll, and Ivey Research Office to ensure a seamless hiring process for graders, lecturer assistants and student research appointments. 
  • Remain up to date on changing policies and procedures within the University including strong familiarity with immigration policy and legislation for student permits as well as post graduate work permits. 
  • Coordinate with Associate Dean, Faculty, Associate Director, Faculty Development & Services, and Associate Director, Human Resources on approvals for any hiring that fall outside of the agreed upon budget plan (i.e. Lecturer Assistants, Teaching Assistants).
  • Provide direct support to Ivey Research on all matters related to student research appointments.
  • Receive and track weekly hours of work for graders, research assistants, teaching assistants, and class coordinators.
  • Ensure that hours of work have been approved by the employee's direct supervisor and submit these hours to Ivey's Payroll coordinator on a weekly basis to ensure payment.

 Talent Acquisition

  • Develop and maintain collaborative relationships with leaders, employees and faculty at Ivey to understand their business requirements in order to support full cycle recruitment of professional contract, temporary and unionized positions including obtaining approvals, creating and updating job descriptions, job postings, candidate sourcing, screening, interviewing, testing, job offers, reviewing references, candidate follow up and data tracking.
  • Oversee the full cycle recruitment of non-union, temporary and/or student contracts on Working at Western.
  • Assist in the development of sourcing strategies and assessment methods to help increase the quality and diversity of candidates, expanding the reach of talent searches.
  • Make recommendations on talent acquisition process and procedure enhancements, with a focus on the candidate experience.  

Other

  • Actively participate in various HR projects including conducting research and analysis, revising policies/processes, etc.
  • Assist in uploading contracts to OWL for processing and approval of timesheets.
  • Promote a collaborative, inclusive and respectful work environment, supporting colleagues and providing coverage for team members as needed.
  • Effectively manage and maintain confidential and sensitive human resources information, documents, processes, and data (e.g. employee records, employee lists, status tracking etc.), and ensure it is archived, stored, and destroyed in accordance with human resources policies and procedures.

 

Qualifications: 

Education and Experience: 

  • Bachelor’s degree or college diploma in Human Resources, Business or related program.
  • Minimum 3 years of related Human Resources experience including full cycle recruitment experience.
  • Knowledge of Employment Standards Act.
  • Experience in an academic or broader public sector setting an asset.
  • PeopleSoft and ADP experience an asset.

 Skills and Abilities: 

  • Exceptional customer service skills and the ability to build positive relationships with candidates, students, leaders and faculty.
  • Ability to work well under pressure and handle multiple competing priorities in a fast-paced environment with frequent interruptions.
  • Excellent written and verbal communication skills, demonstrating confidence and professionalism with internal and external stakeholders.
  • Resourcefulness with a strong sense of accountability and initiative.
  • Self-motivated multi-tasker with superior organization skills.
  • Ability to work independently with little supervision, while still possessing a strong record of teamwork and collaboration.
  • Superior attention to detail and ability to process information with high levels of accuracy.
  • Problem-solving and sound professional judgment, especially regarding confidential/sensitive matters.
  • Intermediate proficiency required in Microsoft Suite and demonstrated ability to adapt quickly to new technology.
  • Ability to understand, interpret, and effectively communicate University guidelines, policies and practices to key stakeholders.
  • Ability to maintain discretion and handle confidential information.
  • Demonstrates a continuous improvement mindset by actively identifying and implementing opportunities to streamline and enhance processes.
