Tech Savvy Office Admin Assistant

Introduction
Our Tech Savvy Office Administration Assistant ensures the general office needs and safety of all Motif personnel, visitors, and contractors on site are met. The successful candidate will be detail oriented and organized with the ability to successfully manage multiple requests simultaneously with high accountability for follow through. Personality, friendliness and confidence are assets for this position. This role reports to our Director, People & Culture (HR).

Position Overview:
  • Manages visitors by greeting, welcoming, and directing them appropriately
  • Identify, log, and monitor all incoming and outgoing visitors/contractors/temp workers to the site, issuing out badges and access accordingly
  • Notifies company personnel of visitor arrival
  • Handles all catering orders, prepares space for the client visits and ensures needs are addressed for all executive staff
  • Receives deliveries and informs the Shipping & Receiving department
  • Maintains telecommunications system, answers calls, directs calls to the appropriate departments
  • Keeps a safe and clean reception area by complying with procedures, rules, and regulations
  • Manages all incoming and outgoing mail
  • Ordering office supplies including laptops, keyboards, wireless devices, printer troubleshooting and toner etc.
  • Signing out training laptops and tracking location of training laptops
  • Maintains office/kitchen/bathroom supplies by checking inventory and ordering items
  • Performs general administrative support work such as running reports, copying, filing and travel arrangements as necessary etc.
  • Assumes responsibility for maintenance of office equipment, including computers, copy machines and fax machines
  • Initializing and disabling key fob access to facility; and
  • Other duties as assigned.


Qualifications:
  • Uncompromising commitment to quality service and admin support
  • 2-3 years experience as an administrative professional
  • Highly detail oriented and organized
  • Comfortable working in a fast-paced office production environment
  • Exceptional communication skills (telephone, verbal communication and listening)
  • Advanced computer skills including proficiency in MS Office (Excel, Word)


SCHEDULE
·        Mon – Fri, 12pm – 8:30pm

COVID PROTOCOL (ON SITE)
 
This role is performed on site at our production facility. This role is performed on site at our production facility in Aylmer, Ontario and Motif provides all required PPE and has continued manufacturing safety protocols: a well-fitted mask must be worn at all times while indoors and staff are to remain 2M+ apart unless otherwise communicated.
