As the Project Coordinator (Documentation) you will be responsible for writing, distribution, collection, storage, and maintenance of our company’s documentation. You also will play an integral part in how we interact and support our customers by revamping our product help and creating a brand new experience for our customers through a self-serve Knowledge base ecosystem. You will be part of a Project Management team, reporting to the Project Manager, and will collaborate on all documentation needs within our Production Team, Sales and Marketing Team, Services Team, Technical Review and Business Analyst Team, and Subject Management Team.

NOTE: This opportunity has a full-time remote option for candidates residing in Canada.

Responsibilities

  • Assist with the planning, development and implementation for publishing software solution for context-sensitive help and the development of a customer facing knowledgebase.
  • Organization and standardization of all internal Confluence spaces and pages.
  • Works closely with SMEs to gather documentation information.
  • Creates and designs technical documentation, user guides, online help and content library creation and maintenance.
  • Supports the development of sales tools, brochures, product overviews, product specifications, training syllabuses, manuals, and installation guides.
  • Study documentation requirements and ensures a compliant document is developed.
  • Proposes methods, processes, or tools to improve documentation creation and maintenance efficiency.
  • Assist with the creation of the WinAir style guide.
  • Conducts usability reviews prior to distribution.
  • Initiates modifications to the documentation after a release.
  • Maintain an industry-standard technical document format for all WinAir documentation.
  • Assists with the creation and maintenance of WinAir processes, policies, and procedures (SOPs).
  • Assist the Business Development team with writing grant proposals or RFPs upon request.
  • Other ad hoc duties, as requested

Qualifications

Required

  • Technical degree, diploma, certificate or equivalent in a related field or a comparable combination of education and experience.
  • A minimum of 3 years of experience related to documentation and help authoring tools
  • Experience with relevant systems and tools such a Jira and Confluence.
  • Experience developing online help and knowledgebase.
  • Exceptional organizational, interpersonal, and communication skills
  • Effective time management and project prioritization skills, multi-tasking
  • Solid communication and interpersonal skills.
  • Excellent written and verbal communication skills.
  • Excellent organizational skills and attention to detail.
  • Demonstrated ability to handle multiple priorities and assignments.
  • Strong interpersonal skills.
  • Able to work both collaboratively and independently.

Preferred

  • Previous experience in a Project Administration or relevant role is an asset.
  • Familiarity with project management applications (e.g. Confluence, Jira, etc.) is an asset.
  • PMP is an asset but not a requirement.
