Faculty Development under the Dean’s office reports to the Associate Dean Faculty Development and operates at three levels.  Strategically the department contributes to Ivey’s strategy of creating thriving and successful work experience for all faculty – regardless of their rank and employment relationship.  Successful faculty assure the school of its ability to succeed on its research mission, the ability of faculty to contribute to a superior student experience across our programs and to govern aspects of our operations that are based on the collegial model of governance. Operationally the department oversees and executes important workflows for the school including search and appointment; performance evaluation; promotion, tenure, and continuing status; workload planning and management; and other faculty management processes.  Tactically the department manages and executes daily activities associated with individual faculty contracts, letters, workload, leaves, sabbaticals, salary adjustments etc.

Position Overview:

The Talent and Faculty Development Associate is an integral member of the Faculty Development team in the Dean’s Office, supporting faculty across all programs by recruiting, hiring, and coordinating over 300 markers, research assistants, and student research appointments. This role involves building strong relationships with stakeholders and candidates, handling confidential information with care, and managing multiple recruitments simultaneously to meet timelines. 

The Talent and Faculty Development Associate is also responsible for processing and inputting weekly timesheets for student hires and other approved positions. This ensures accurate tracking of work hours and supports the timely processing of weekly pay.

Additionally, the incumbent will facilitate and support a range of administrative, human resources, communications, and financial functions and processes within the unit and the Ivey Business School. The individual is responsible for analysis and interpretation of policy and procedures within the Faculty Collective Agreement (FCA). The Faculty Development Officer interacts with internal and external stakeholders, responds to inquiries and addresses concerns.

Key Responsibilities:

Faculty Support Staff Recruitment and Administration

  • Prepare position descriptions and post on Working at Western, liaise with candidates to ensure timely application completion, and coordinate with faculty to select preferred candidates.
  • Conduct reference checks and ensure proper onboarding for new hires, completing necessary paperwork promptly and accurately.
  • Review faculty Grader Budget Allocations to have a full-scale understanding of hiring needs and available positions.
  • Prepares contracts and personnel documentation, verifies student employment eligibility, secures Faculty approvals, and monitors the flow of information through Peoplesoft.
  • Prepares part-time contracts and contract renewals for Graduate Student Research, Undergraduate Student Research and Post Graduate Student appointments. 
  • Liaises with Western Human Resources, Ivey Payroll, and Ivey Research Office to ensure a seamless hiring process for markers, lecturer assistants and student research appointments. 
  • Remain up to date on changing policies and procedures within the University including strong familiarity with immigration policy and legislation for student permits as well as post graduate work permits. 
  • Coordinate with Associate Dean, Faculty Development and the Associate Director, Faculty Development & Services on approvals for any hiring that fall outside of the agreed upon budget plan.
  • Provide direct support to Ivey Research on all matters related to student research appointments.
  • Manage the Ivey Contracts Inbox, handling contract requests and inquiries efficiently to ensure timely and accurate responses.
  • Consistently seeks opportunities to optimize processes, enhance efficiencies, and improve the overall experience for students, faculty, and leaders.
  • Maintains robust tracking and reporting of marker hours and monthly budget spend.

Timesheet Administration

  • Receive and track weekly work hours for markers, research positions (research assistant, research support, research associate, post grad appointment, graduate student appointment, undergraduate student appointment and pre graduate student research). Verify that the hours have been approved by the employees' direct supervisors.
  • Manage the Timesheet inbox, respond to general timesheet inquiries, and provide guidance on interpreting university policies for students and employees.
  • Organize and manage timesheet files, processes, and reports, consistently seeking improvements to enhance accuracy, compliance, and efficiency.

Faculty Support and Administration

  • Collective Agreement Administration: In collaboration with the Faculty Development Officers, execute the day-to-day administrative tasks required to support employment processes governed by the Faculty Collective Agreement (FCA). This includes preparing documentation, tracking deadlines, monitoring deliverables, and ensuring the accurate application of provisions related to appointments, compensation, leaves, sabbaticals, evaluation timelines, and workload. Liaise with Faculty Relations and other stakeholders to ensure compliance, consistency, and timely processing of all FCA-related activities.
  • Faculty Inquiries and Guidance: Act as a trusted advisor for faculty seeking information or assistance on a wide range of employment-related topics, including appointments, pay, benefits, pensions, leaves, workload, and policy interpretation. Apply working knowledge of University systems, processes, and the Faculty Collective Agreement (FCA) to provide accurate and timely guidance. Collaborate with Faculty Relations, Western Human Resources, Payroll, and other partners to resolve complex questions and ensure a consistent faculty experience.
  • Event Planning and Faculty Engagement: Collaborate with the team to plan, organize, and support the execution of faculty engagement activities, including the annual Faculty Retreat. Assist with coordinating logistics, scheduling, preparing materials and agendas, managing communications, and supporting day-of execution to ensure a positive experience for faculty and stakeholders.
  • Compliance and Process Improvement:
    Maintain up-to-date knowledge of university policies, collective agreements, immigration procedures, and CRA expense guidelines. Contribute to the development and implementation of streamlined procedures and documentation to enhance efficiency and service delivery.

Qualifications: 

Education & Experience

  • Minimum University degree required, preferable in Human Resources, Business or related program.
  • Minimum three years’ experience in an administrative position with direct experience with collective agreement administration and human resources, including full cycle recruitment.
  • Knowledge of Employment Standards Act.
  • Experience in an academic or broader public sector environment preferred.
  • PeopleSoft experience an asset.

  • Working knowledge of SharePoint an asset.
  • Ability to understand, interpret, and clearly communicate University guidelines, policies, and best practices to key stakeholders.
  • Strong commitment to streamlining workflows and enhancing efficiency through creative problem-solving, automation, and continuous improvement.
