The Strategic Initiatives Team, located within the Dean's Office, oversees the school's data analysis and reporting strategy, supporting the school's strategic objectives through cross-organizational reporting, quality assurance (such as accreditation and rankings), and business intelligence to inform senior decision-makers and operational teams. Additionally, the team supports the ongoing development, tracking, and reporting of the school’s strategic plan. It supports the business intelligence functions across the organization, managing the intake, scoping of cross-organizational analytic projects, and facilitating the production of results through collaboration with cross-functional teams.

 

Position Overview:

The Programs Data Analyst demonstrates a natural curiosity for unraveling the narratives concealed within data, consistently striving to enhance program management processes and systems. Proficient in identifying and leveraging pertinent data sources, this individual excels in aggregating, analyzing, disseminating, and formulating key insights, presenting them effectively to diverse internal stakeholders. Serving as the primary source for program and student data across all programs, the Analyst showcases a high level of collaboration and possesses the ability to interpret requests, pose pertinent questions, and creatively present findings.

With a project-based mindset, the Programs Data Analyst continually evaluates and discovers efficient methods for staff teams to navigate various program management systems and procedures. Embracing the challenges of a fast-paced and often ambiguous environment, the Analyst's work plays a pivotal role in contributing to strategic initiatives and ongoing reporting. Their efforts directly support the school in remaining at the forefront of student services, support, and program management.

 

Responsibilities:

Data Collection, Analysis, and Reporting 

Student and Programs Data, Reporting and Presentation

  • Apply expertise in quantitative analysis, data mining, reporting data visualization and presentation to identify and communicate student and program management information for internal stakeholders.
  • Manage the data acquisition and analysis process for student and program management reports (ex: HBA, MSc, MBA) and any project related needs of the school (admissions, student satisfaction, program reviews both internal and external).
  • Ensure past and present data is accessible and stored in a reliable manner. 
  • Review and monitor data collection and offer recommendations on various data to capture or report on. 
  • Collaborate across programs on all student and program management data requests; interpret requests, conduct analysis, determines accuracy and alignment of data, and presents findings and insights. 
  • Conceptualize and build centralized reports, Salesforce dashboards, to monitor student and program related data.
  • Coordinate rankings process across cross-functional teams, including requesting, collecting, managing QA, and submitting school data to ranking publications. This will include tracking trends and results of the rankings and establishing a centralized data source in CRM and data retrieval/archival process.
  • Collect and report School-level programs and student data for other ongoing data needs, including support reporting for accreditation purposes.

 

Programming & Metrics 

  • Determine data requirements for various program initiatives, in collaboration with program services teams, identifying and recommending the use of data to best meet programming objectives.
  • Assist program services teams in the interpretation and presentation of the data analysis, being used to inform decisions on programming content, timing, and deliverables of various initiatives (admissions, students services and supports). 
  • Oversee the data collection and analysis of reoccurring student surveys providing insights to help inform future decisions on programming content, timing, and focus (surveys include programming surveys, pulse surveys, orientation evaluation, and the annual student experience survey).
  • Prepares and communicates student and program management data for various departments and programming metrics as needed. 

 

Program Management and Systems Analysis and Support 

  • Contribute to the assessment of program management systems and procedures that support program services teams, making recommendations for improved process and efficiencies as processes and policies are changed or updated (Learn process for course selection and add/drop and student communication, salesforce functions for student data reporting, exam software and procedures that can be consistent across programs).
  • Constantly seek ways to improve process and delivery of using systems to best support program management and student supports and services.    
  • Collaborate and partner regularly with Program Services staff to understand the user experience of program management processes and supports, identify gaps, and recommend solutions.
  • Partner regularly with IT Business Analysts to identify solutions and integrations to address new and ongoing data and analysis needs.

 

Technology, Operations & Other Support 

  • Possess a comprehensive understanding of the utilization and integration of technologies such as Salesforce, Learn, PeopleSoft) for data reporting on student and program management.
  • Prepare and deliver updates to the Program Services teams regarding accessing data and generating reports through the integrated data platforms.
  • Collaborate on process documents and guidelines for various cross-program systems initiatives.
  • Foster a positive, creative, and collaborative environment, encouraging brainstorming and an openness to try new ideas.
  • Build meaningful cross-functional relationships within the department and school and help promote/socialize/activate to help inform program services and student data to internal stakeholders.

 

Qualifications: 

Education & Experience

  • Successful completion of a bachelor’s degree; master’s would be an asset.
  • A minimum of 2-3 years’ experience demonstrating expertise working with data reporting and analysis, including data reporting and visualization; experience with Salesforce considered an asset.

  • Proven ability to synthesize analyses from qualitative and quantitative data sets and design and generate impactful reports.
  • Proven track record of defining new data collection and analysis processes to increase efficiencies or effectiveness of reporting.
  • Demonstrate a high degree of critical thinking, identifying patterns, trends, or abnormalities in data sets.
  • Self-directed individual, with a high tolerance for ambiguity and comfort with using professional judgement to make recommendations on the data provided.
  • Exceptional attention to detail and able to independently set priorities to achieve objective(s).
  • Highly collaborative with an ability to build and maintain mutually beneficial relationships with internal and external stakeholders.
  • Strong communication skills, in both individual and group settings, with the ability to articulate findings in a convincing and effective manner and contribute to executive-level discourse through active listening and asking questions.
  • Accustomed to working with confidential data and adheres to all privacy regulations.
  • Knowledge of the University and business school environment, programs offered, academic policies with understanding to FIPPA privacy requirements in higher education setting.
  • Knowledge of various online software tools including Salesforce and Qualtrics is considered an asset.
  • Excellent computer skills, including performing at an advanced level with MS Office Suite.
  • Understanding of data structures and query languages
