Location: London, Ontario

Position Type: Full-time, 3-year Ivey Business School Foundation renewable contract.

Hiring Range: $52,100 - $61,300.

The Finance team is responsible for managing the Ivey Business School Foundation’s financial resources and ensuring fiscal responsibility. This includes budgeting, financial reporting and analysis, working capital management, and compliance. The Finance team plays a central role in the academic mission of the school by ensuring sound financial management, effective resource allocation and compliance with regulatory requirements.

 

Position Overview:

To process sales, accounts receivable, A/R Collections and payments for Ivey Business School Foundation (IBSF).  To ensure adequate controls over sales, receivables, cash receipts and proper recording in the books of account.   Customer invoices, bank/remote deposit, general journals, balance sheet account reconciliation, and month/year-end working papers are completed in a timely and accurate manner.

 

Responsibilities:

Balance Sheet Account Reconciliation and Online Payment Reconciliation

  • Balance sheet account reconciliation and month/year-end working papers.
  • Determining validity and accuracy of coding sales, receivable and receipts.
  • Timely and accurate reconciliation of deferred revenue accounts.

Receipts (cash, cheque, wires, and online) 

  • Process cash receipts, refunds, and online payments.
  • Timely and accurate processing of IBSF cash receipts, bank/remote deposits, and sales data integration to accounting software.
  • Leveraging use of Salesforce to reconcile Academy payments.
  • Maintain good relationships with customers, ensuring reliable and accurate reporting of sales and receivables. Follow up with customers when needed for payments.
  • Adherence to internal processes and corporate policies related to sales, receivables, and receipts.

General Journal Entries, Sales Integration, and Month/Year-End Working Papers

  • Preparation of general journal entries, balance sheet account reconciliation, online payment reconciliation, month/year-end working papers.

Issue Customer and Student Invoices and Refunds

  • Issue customer invoices on a timely basis and ensure appropriate backup and authorization obtained for the service.  
  • Ensure monthly billings are complete and accurate and reconcile invoicing to department program listing 

Aged Accounts Receivable Reports and Collections

  • Ensure consistent and regular efforts are made towards collection of aged A/R accounts for Academy and Publishing.
  • Distribute Aged Accounts Receivable reports to departments and assist with collections for IBSF on a timely basis.
  • Ensure that clear you communicate clearly with departments over their aged accounts and collaborate with team members to ensure collection.

Other

  • Assist with miscellaneous Invoicing/Sales items as they arise. 
  • Act as backup to Senior Accounting Coordinator when needed.

 

Qualifications: 

Education and Experience

  • Post-secondary diploma in business required, University degree in accounting preferred.
  • Minimum 2 years of experience in computerized accounting function.

  • Advanced computer skills – MS Office, Excel, and accounting software.
  • Excellent organizational and interpersonal skills.
  • Strong problem-solving skills.
  • Proven ability to work under pressure, meet deadlines, and follow directions.
