Salary Grade:  N07        From:  $87,999.00

Job Summary:

The WSIB is implementing a new Enterprise Resource Planning program (ERP), which includes implementing new processes, changing existing processes and introducing Oracle Fusion. Oracle Fusion is a cloud-based software that integrates finance, procurement and human resource systems, making it easier to access information, collaborate amongst departments and create a single source of truth by centralizing data from various business processes and departments into a unified system.

The Change Management Specialist will work with an experienced change management team and project team following the WSIB’s change management framework to discover and mitigate impacts to people, technology and processes that implementing a new system and processes brings.

Major Responsibilities:

1. Execute on the change  scope, plans and schedules for the assigned programs, projects and/or initiatives for the impacted business area(s):

  • Develop, monitor and execute on the detailed action plans to meet scheduled change activities deadlines
  • Collaborate with work streams on programs, projects and initiatives to identify issues, risks, challenges as it relates to the impacted business area(s) and/or stakeholders
  • Responsible for the delivery and completion of change readiness activities in alignment with WSIB’s change framework and methodology
  • Identify potential risks, anticipated resistance and performance gaps.  Develop strategies and plans to close these gaps
  • Developing and delivering business-led training materials
  • Implement new or revised processes, procedures, products, tools and related training for the business area(s)
  • Monitor and evaluate the implementation of the change ensuring work completion and reporting on performance progress and metrics to
  • Manage the day to day operational aspects of the scope to prepare the business and/or impacted stakeholders for change

2. Ensure alignment to the WSIB Enterprise Change Framework and methodology

  • Develop, deliver and execute on change activities  that are aligned to the Enterprise Change Management strategy, approach, framework and methodology (templates and tools)
  • Work closely and collaborate with other change resources on the development and delivery of change activities
  • Support and work with internal and external stakeholders with effective change adoption
  • Participate in monthly change community of practice sessions and deliver accurate monthly change reports to the ECMO
  • Be and advocate for change within the organization – lead by example and champion the value of change management

3. Oversee and support change management efforts to ensure impacted business areas and stakeholders are prepared for the change

  • Lead the completion of change readiness activities, such as impact assessments, workshops and communications with all impacted business areas
  • Deliver change related updates to impacted business area(s)
  • Assign change work to supporting resources from the business, if applicable
  • Support business owners and change champions and provide input on best practices
  • Collaborate and consult with internal business owners to ensure operational readiness goals and objectives are supported by the business and achieved.
  • Provide change assessments, analysis, risks, gaps, recommendations to business owners for review and approval
  • Manage business owners expectations throughout the change
  • Work closely with support functions (Communications, HR, Learning and Development, EPMO, ECMO) on the delivery of change plans, activities and materials
  • Act as a change agent and organizational business partner to raise awareness and understanding of the change, providing support to employees and managers throughout the change journey
  • Ensure the business area is prepared and equipped for the change

4. Other duties as assigned

Job Requirements:

1) Education requirements:

Minimum Level Required

  • Bachelor’s degree or equivalent designation or knowledge and experience

Preferred Level

  • Change Management certifications is considered an asset
  • Project Management certification is considered an asset

2) Experience:

Minimum Level Required

  • Front-line claims experience or 2+ years CM experience
