Legal Systems Administrator is a role in our Corporate Legal team.

 

This is an office-based role with the option of a hybrid work arrangement.

 

Must be available to come into the London, Ontario office 3 days per week.

You have university or college degree or diploma in business administration, IT, finance, law, project management or a related field and a minimum of 3 years of relevant corporate/commercial work experience, preferably as part of an in-house legal team. Experience working with a sophisticated Contract Lifecycle Management Systems would be an asset. You have excellent organizational skills, attention to detail, follow up and exceptional customer focus. You have advanced skills in Microsoft Office application and are able to multi-task and work cross functionally. You can work independently and in a fast-paced environment and have great critical thinking, problem solving and troubleshooting skills.

 

As a member of the Trudell legal department you will be responsible for supporting and assisting the Senior Legal Counsel and/or General Counsel with department operations, delivery of legal services across the Trudell Medical Group of Companies (TMG), and/or such other matters as required by the Senior Legal Counsel and/or General Counsel.

 

Specifically, you will focus on:

 

Contract Management and Administration

  • Management, administration and workflow management of incoming requests for legal services as they relate to commercial contracts
  • Management and administration of the contract database, contract precedent database and the company’s/subsidiaries respective intranet sites as they relate to matters of contract management
  • Assist the Senior Legal Counsel and/or General Counsel with annual review of templates and internal clause library and subsequent maintenance of same
  • Initial evaluation, review, and compilation of necessary information to facilitate the drafting and negotiation of commercial agreements/terms and conditions
  • Ensure compliance with the company’s contract signature policies for new contract requests and revisions and exceptions made to outside party agreements
  • Ensure stakeholders have access to resources and information required to fulfil their general contracting practices responsibilities
  • Monitor contract lifecycles, including renewals, expirations, terminations and necessary updates
  • Track legal documents through the execution process, ensuring proper signatures, timely approvals and accurate filing
  • Build and maintain knowledge of crucial contract management and business process workflows
  • Ongoing system administration, operational support and problem resolution for all CLM users
  • Assist with internal training for company’s CLM solution as well as employee onboarding
  • Commitment to ongoing learning, awareness and application of CLM solution
  • Ensure application of best practices in process development and contract management
  • Provide regular reports and updates to management, including KPIs for company’s CLM solution.

 

Communication and Collaboration:

  • Ensure clear and concise communications with both internal and external customers/suppliers
  • Work closely with business partners to understand and refine requirements, objectives and processes to drive strategic solutions

 

General Administration:

  • Assist Senior Legal Counsel or General Counsel with other department related tasks as required
  • Draft letters and memos and prepare reports as required
  • Schedule meetings and appointments as related to Legal Systems Administration
  • Schedule, review, update and create precedent forms
  • Support departmental efficiency by delivering ad hoc and ongoing activities, e.g. PPT presentation preparation, travel arrangements, notarial forms preparation, document management etc.
  • Assist with ongoing maintenance of the legal intranet site
