Job Description:
Note: This is for 1 Regular Full-Time temporary vacancy until April 30, 2027. This position is a daily on campus in-person work schedule. This position is deemed a critical replacement vacancy.
Why this Role is Important
Under the supervision of the Operations Manager the incumbent is responsible for providing administrative, academic and clerical support with primary responsibility as the Divisional Student Information Systems (SIS) liaison for the Business Programs.
How You’ll Make an Impact
SIS designate support to include:

Assigns class letters (program sections) for all programs

Monitors mid-term and final grading, and academic standing activities according to scheduled deadlines

Liaises with faculty on an ongoing basis to prompt for, and obtain information (e.g. grades) by the due date according to College procedures

Solves registration and student record issues or determines appropriate course of action for student to take

Collates from academic records graduation lists, verifies accuracy, and liaises with the Registrar's Office Graduation Coordinator to exchange records
-
Processes and maintains divisional records for internal and external course credits. Follows up with students if correct documentation is missing.

Assists with generation and distribution of class lists for faculty at the beginning of each academic term

Sets up students on Fanshawe On line (FOL)
Registration and Liaison duties:
-
Course and program enrolment/registration for BUS students
-
Sends out information to applicants/registrants; create packages for student orientation

Plans and participates in development of Orientation Schedule for students
-
Program registration and verifications for all first semester BUS programs
-
Adds applications and verifies advanced standing and PLA data and maintains all related documentation; processes add/drop courses for readmission students

Ensures maximum number of applicants are admitted and registered before the start of classes
-
Determines status of student registration i.e. part-time or full-time
-
Liaises with cooperative education consultant to obtain information necessary for grades and graduation from co-op programs

Assists both faculty and students with academic matters relating to the system

Liaise with student regarding all matters of registration from course enrolment to credit approval/denial to eligibility for graduation
Curriculum:

Assists with updating course outlines and program information sheets (back-up as required)

Initiates requests for new courses and submits Degree Audit information for all existing and new program activity

Tracks and submits pre-requisite and equivalent course associations
Other:

Provides back-up to the customer service centre as required

Prepare absence reports for all faculty and support staff (back-up as required)

Provides back-up for the submission of work order requests

Provides academic support and assistance to other divisional staff, faculty, and administrators as required

Implements ongoing new processes for registration and when systems change
-
Assists with College approved activities such as College graduation ceremonies, Instructional Feedback Surveys, and KPI surveys
-
Develops Instructional Feedback and Key Performance Indicators (KPI) survey schedules with input from coordinators and recruits volunteers from staff to ensure all surveys are administered at the scheduled time

Follow-up and attempts to track down students in class for completion of surveys and returns all completed surveys

Other related duties as assigned
What You'll Bring

Post-secondary 2 year diploma or equivalent in Office Administration, Business studies or equivalent combination of academic education and related work experience

Minimum 1 year of experience in team environment in an academic service office using a variety of computer software packages such as Colleague, Workday, word processing and spreadsheets

Familiarity with FOL (Fanshawe Online) would be an asset
-
Strong organizational skills, time management skills and attention to detail

Ability to multi-task and work independently
-
Excellent verbal and written communication skills
