Project Administrator
Position Location: Headquartered in London, ON with the option of a hybrid work offering.
*Please note this is a 12 month contract, covering a maternity leave.

In your role as Project Administrator your main goal is to support our Client Project Managers by coordinating project activities related to any and all projects. You will report to the Manager, Managed Services and will be an integral part of the unbelievably awesome Managed Services team.
Responsibilities
Effectively communicate with our Client Project Managers, Sales Team and Clients
Assists Client Project Manager with the successful full cycle of assigned projects; from initiation to completion
Creating and posting jobs to the Voices website, sending audition short lists to clients for review and creating quotes to provide accurate information to customers.
Ensures all project documentation is accurate and uploaded into internal project management software
Establish solid rapport and maintain contact with clients
Ensure required talent forms are completed and all other required documents are obtained from client
Acts as a liaison between the customer and Client Project Manager to ensure project success
Address questions/concerns throughout the project
Perform tasks required by the Client Project Manager in support of project needs
Be aware of all aspects of the scopes of work so proper assistance to the Client Project Manager can be provided
Responsible to track project changes and produces updated schedules
Review project information and compile schedules in a timely manner
Tracks the progress of all new and ongoing projects and maintains up-to-date notes
Organize, compile and submit support documentation on completion of project
Submit any required information to the client as directed by the Client Project Manager
Skills Required
Manage sensitive information appropriately and maintain confidentiality
Strong aptitude to work within deadlines
Extremely comfortable with calling and speaking with customers over the phone as well as clear written communication.
Knowledge of planning and scheduling techniques.
Dependable, reliable, ambitious and driven.
Experience with “Google Apps for Work” and Salesforce considered an asset.
Experience with Asana considered an asset
Experience with assisting Project Managers an asset
Absolutely stellar customer service skills
Personable, approachable and friendly, but with a professional edge.
Educational Requirements
College diploma in Communications, Business Administration or equivalent.
