The Executive Assistant will provide high quality administrative support to members of our Technology, Canada Life & Great-West Lifeco senior leadership team. 

To be successful in this role, you must be detail oriented; take initiative; adaptable; work well with complexity & ambiguity; build strong relationships; work independently in a fast-paced environment, and exercise discretion while managing confidential information. 

 

The ideal candidate is highly self-motivated, professional, and able to make decisions within the scope of accountability while keeping leaders informed. 

 

What you will do 

  • Organize schedules including the evaluation & reprioritization of schedules when unexpected priorities arise. Independently follow-up on action items, maintain calendars, coordinate travel arrangements and expense reports, maintain files, and prepare correspondence and other presentation materials 

  • Assist with various departmental tasks as required, including distribution of various internal mail and reports, coordination of documents for execution by management, ordering supplies, and maintaining tracking lists 

  • Ability to preserve confidentiality and demonstrate sound judgment regarding sensitive matters 

  • Determine priorities while dealing with conflicting deadlines, in a fast-paced environment 

  • Coordinate and manage special projects, assignments and other duties as required 

  • Support the planning and organization of team events, including celebrations, activities around holiday season, and recognizing the achievements of our team.? Plan, organize and manage department activities such as department meetings, townhalls, annual planning and other events. 

  • Collaborate with internal teams to deliver tasks, ensuring timely updates and response to all requests 

  • Work collaboratively with other Executive Assistants to help coordinate across the executive teams 

 

What you will bring:

  • 5 + years of administrative support experience ideally in financial services 

  • Excellent interpersonal and communication skills, both written and verbal to interact with a wide variety of individuals 

  • Demonstrated strong organizational capabilities with the ability to handle multiple priorities and fluctuating workloads, while adhering to strict deadlines 

  • Excellent decision-making, analytical and problem-solving skills 

  • Demonstrated customer service mindset 

  • Demonstrated business professionalism, respect for confidentiality and appropriate handling of sensitive information 

  • Demonstrated business judgment, flexibility, initiative, creativity with a positive professional attitude and image 

  • Self-starter with the ability to work independently, as well as part of a team 

  • Microsoft Office365 skills (Teams, OneNote, SharePoint) 

  • Post-secondary education, or a combination of education and work experience
