About the Role

We are looking for an Offices and facilities specialist who wants to CELLebrate in a fast-paced and fast-changing environment. As part of the ramp-up team of our new Canadian location, you will report to the Operations Manager with Facilities, Construction and Maintenance department.

This position is in-person and located in the charming town of St. Thomas ON.

Key Responsibilities

Office layout and space management
•    Design, implement and optimize office layouts to ensure maximum space utilization, comfort and efficiency.
•    Coordinate workstation assignments, meeting room configurations and collaborative spaces.
•    Lead office renovation or reconfiguration projects, in collaboration with contractors and internal departments.
•    Coordinate with IT to ensure infrastructure supports current and future needs.
Facilities maintenance and operations
•    Oversee the maintenance of all physical facilities, including plumbing, HVAC, electrical systems, elevators and structural components.
•    Supervise custodial services, ensuring cleanliness and sanitation standards are maintained.
•    Develop and implement preventive maintenance schedules and ensure timely repairs.
•    Liaise with building owners, 3rd party vendors (e.g. cleaning, security, maintenance, waste management) and manage service level agreements (SLA).
•    Develop and manage the facilities budget, including forecasts for maintenance, utilities and capital expentidures.
•    Monitor utility usage and identify opportunities for cost savings or sustainability improvements.
•    Manage building access controls, safety protocols, and compliance with fire and occupational safety regulations.
Real estate management and expansion
•    Conduct needs assessments to evaluate space requirements in light of business growth or restructuring.
•    Research, identify and evaluate potential new office locations or satellite spaces.
•    Coordinate office moves, including logistical planning.

What you bring to the Team

•    Bachelor in facilities management, business administration, Engineering is preferred.
•    5+ years of experience

•    Knowledge on building infrastructure and systems, including HVA, electrical, plumbing and fire safety systems.
•    Experience in managing external contractors, ensuring alignment with goals.
•    Strong verbal and written communication skills to liaise with stakeholders at all levels, from management to maintenance personnel.

•    Preparedness to handle emergencies, such as equipment failures, with a calm and methodical approach.
•    Proven ability to motivate fellow employees to action to achieve common goals.
•    Competency with Microsoft Office Suite (Excel, PowerPoint, and Outlook).
•    Skills of communication and working relationships across many layers of an organization and across cultural boundaries.
•    Overtime may be required to meet ramp-up deadlines
•    Ability to maintain flexible work hours to account for time zone differences with Europe, when necessary
•    Ability to travel within Ontario, Germany and China for know-how transfer.
