About Us
The Department of Western Technology Services (WTS) is a central source committed to providing high quality, cost-effective technology solutions and services to the campus community in support of the teaching and research missions of the University. WTS works collaboratively with other IT groups within Western's faculties and support units to leverage central supported technology solutions and services where appropriate.
The Artificial Intelligence Resource Centre (AIRC) is an exciting hub at Western where technology meets creativity.
The AIRC performs the following roles:
- Helping the Western community become "AI literate" by making AI tools feel less mysterious.
- Showing others how to use AI tools in helpful and responsible ways.
- Helping to build and test new AI ideas that make campus life easier.
- Sharing tips, training, and resources so everyone feels confident using AI.
- Supporting "pilot projects" where we try out brand-new AI tools for the first time.
The AIRC uses the student as partners model meaning that you get to work directly with faculty and staff on specific projects, training initiatives, and operational support. You’ll spend your time helping people explore how these tools can support their unique projects and goals.
Responsibilities
As an AIRC Student AI Support Coordinator, you will contribute to one or more of three focus areas:
- AI Learning — If you enjoy explaining how things work and helping others get comfortable with new technology, this is for you. You’ll help create informative and easy-to-follow guides, presentations, and short videos that demonstrate how to use AI tools effectively. You will need to be a clear communicator who can take a complex AI feature and explain it in a way that anyone can understand. This is a great role if you’re interested in teaching, digital storytelling, or communications.
- AI Building — In this role, you’ll get hands-on experience building AI tools like custom chatbots or automated helpers to make campus life and work easier. We’re looking for curious problem-solvers who enjoy experimenting with AI to see what it can do. You’ll work alongside a team to turn ideas into reality, helping people solve everyday problems using the latest AI technology. This is a perfect fit if you enjoy tinkering with tech and seeing your projects come to life.
- AI in the Community — In this role, you’ll be the friendly face of the AIRC, helping us run events, showcases, and workshops. You’ll keep our community connected by helping us manage our socials and web presence to making sure everyone who reaches out to us gets the help they need. It’s perfect for someone who is organized, social, and enjoys making things happen.

In this role you will be responsible for working with faculty, staff, or researchers, to effectively carry out a variety of projects in a manner that aligns with Western’s policies and procedures.
Qualifications
Education:
- Must be a full-time student at Western (enrolled in minimum 3.5 courses), and expect to retain full-time student status for the duration of this appointment
Experience:
- Experience creating instructional content or documentation with the ability to explain technical concepts to non-technical audiences would be an asset (such as experience creating clear instructions, guides, or 'how-to' notes for others)
- Training or facilitation experience would be an asset
- Experience with data analysis or visualization would be an asset
- Experience providing customer services and with coordinating events or managing projects (such as experience keeping a team, club, or community project on track)
Skills, Abilities & Expertise:
- Familiarity with, and comfort using, AI tools (e.g., ChatGPT, Copilot, Gemini) with an interest in emerging technologies and their ethical implications
- Familiarity with digital tools or an interest in how cloud-based apps work (such as Azure, AWS, or Google Cloud)
- Familiarity with AI/ML platforms or developer tools
- Technical aptitude for troubleshooting and problem-solving with an interest in automation and workflow design
- Strong organizational skills and attention to detail with the ability to stay organized, even when you're multi-tasking or managing a workload that changes from day to day
- Strong written and verbal communication with the ability and comfort-level with stakeholder communication including ability to express ideas clearly and easily adapt your style to make sure your audience understands the message
- Personable and courteous with an ability to maintain a positive, outgoing attitude with a genuine desire to help others
- Ability to work effectively as a member of a team to achieve goals, and comfortable working independently when a project needs your focus
- Ability to remain reliable and consistent with your schedule, demonstrating integrity and a commitment to professional standards and confidentiality
- Ability to follow a project through to the finish line, prioritizing your tasks to make sure everything gets done effectively

Demonstration of Performance Assignment: The "Staff AI Kickstart"
The Scenario: A group of 15 Western administrative staff members (from Finance, HR, and Student Records) have signed up for a 60-minute "Intro to AI" workshop. Most have never used a chatbot, and some are worried that AI might make their roles redundant or mishandle sensitive student data.
Your Task: Using an AI tool to help you brainstorm and structure your thoughts, create a 60-Minute Lesson Plan. Your plan must include:

The Hook (10 mins): How will you introduce AI to this specific group to lower their anxiety and get them excited?

The "Sandwich" Demo (20 mins): Describe a live demonstration where you use the "Human-AI-Human" sandwich method (Human input -> AI draft -> Human refinement) to solve a common staff task, like drafting a complex department-wide announcement or summarizing a long policy document.

Hands-On Practice (20 mins): What specific, "safe" activity will you have them do on their own laptops to feel their first "win" with AI?

The "Responsible AI" Wrap-up (10 mins): How will you explain Western’s stance on data privacy (e.g., not putting private student IDs into a public bot) without sounding like a boring lecture?
Submission Requirements:

A Lesson Plan Outline (bullet points are fine here, but keep the descriptions clear).

One "Cheat Sheet" Paragraph: Write the exact words you would use to explain to a nervous staff member why AI is a "co-pilot," not a "replacement."

AI Disclosure: Tell us which AI tool you used to help design this session and one suggestion it gave you that you decided not to use because it wouldn't work for Western staff.
