Employee & Labour Relations Assistant
We are seeking a highly organized, detail-oriented and enthusiastic Employee & Labour Relations Assistant to join our team and help us continue building a thriving and supportive work environment.
As our Employee & Labour Relations Assistant, you will report to the Human Resources Supervisor, or designate and provide administrative and program support, assisting with employee relations, labour relations, and employee engagement and recognition. You will also provide internal customer service, prepare and distribute correspondence, enter data in HR systems, assist with engagement and recognition program budget and expense management, perform departmental records management, and contribute to a positive work environment.
WHAT YOU WILL DO
- Employee Relations, Engagement, and Recognition Support: Assist with the design, coordination, scheduling, marketing/communication, implementation, venue/hospitality, entertainment/guest speakers, and management of employee engagement, networking, and recognition programs. Assist with program evaluation and employee surveys. Serve as a member of the social committee and assist with events. Maintain records for engagement and recognition program budgets and expenditures, ensuring alignment with financial guidelines. Assist with providing newsletter content for internal communications. Coordinate and ensure timely distribution of employee milestone service awards, gifts, rewards, and acknowledgements.
- Labour Relations Support: Assist in the administration and maintenance of labour relations matters and records (e.g. employee discipline and/or performance, grievance arbitration, collective bargaining / collective agreement, investigation records). Assist with conflict resolution activities in accordance with company policies and procedures. Contribute to the collective bargaining process (including compiling and preparing industry-relevant research and benchmarking data, scheduling and attending preparatory meetings, and providing ongoing administrative and documentation support from planning through to completion and publication of the collective agreement). Support the administration of the collective agreement, letters of understanding, and grievance settlements. Assist in the promotion of a positive labour relations environment. Maintain a thorough understanding of the collective agreement and respond to related general inquiries.
- General HR Support: Enhance, organize, and support a professional and welcoming atmosphere for HR visitors and team members (e.g. displays, amenities). Greet departmental visitors and callers. Referencing knowledge of HR functions, initiatives, practices, and roles, ensure employees receive timely support and information. Assist with new employee orientation. Ensure accurate record-keeping of employee information (including distribution and mailing lists). Maintain confidential and general files (digital and hard copy), ensuring that corporate records are available for audit and compliance purposes, and retained and/or destroyed in accordance with record retention policy and procedure. Update and maintain HR-related documents, files, records, and systems. Assist in maintaining records of various committee meetings and prepare agendas and minutes as required. Prepare, proofread, format, and/or edit correspondence, memoranda, business documents (i.e. staff reports, plans, filings, proposals, recommendations, meeting presentations, etc.). Create and maintain HR department reports for employee relations, recognition, and other HR initiatives. Assist with invoice management, ensuring accurate and timely processing and payment of HR-related invoices, expenses and the employee purchase program. Schedule meetings. Order office supplies. Assist with employee and retiree communications. Handle sensitive and confidential matters relating to the daily activity of the department.
- Safety: Adhere to all Occupational Health & Safety Act rules and regulations, the IHSA EUSR rulebook and London Hydro work practices. Report all injuries and near misses immediately. Perform all activities in a manner that protects the health and safety of self and others. Wear all personal protective equipment as required. Understand and comply with London Hydro Health and Safety policies.

- Post secondary education in Human Resources or Labour Relations or a similar / equivalent program.
- One (1) to three (3) years of experience in a related HR role (i.e. supporting employee and labour relations). Previous experience in a unionized setting considered an asset.
- Excellent written and oral communication and interpersonal skills.
- Written materials demonstrate thorough knowledge of professional writing and spelling and grammar conventions.
- Proficiency in MS Office applications (Word, Excel, PowerPoint) and G Suite. Proficiency in HRIS systems considered an asset.
- Position necessitates a high degree of tact, confidentiality, integrity, ability and initiative to work independently.
- Excellent judgment, time management, organizational and records management skills, with a commitment to accuracy.
- Valid Class G Driver’s License.
