Position Purpose:

Exciting opportunity to join Info-Tech Research Group’s Bids & Contracts team as a Bids Specialist, supporting our public sector business! This candidate is required to be a quick learner, a self-starter, scrupulous, with advanced skills in English-language reading and writing, and be a proactive individual. Must enjoy reading and writing - technical writing skills are an asset to being successful in this role. Must be able to provide complex problem-solving, small project management with multiple different stakeholders, and coordinate complex bid responses with many detailed requirements, including a high-level of comprehension. Requires excellent time management, thoughtful prioritization, hierarchy understanding, and well-developed organizational skills. It also requires exceptional communications, from reading to written form, with excellent grammar.

 

Must work well both independently and within a team setting. This candidate should excel in a fast-paced environment with an ability to re-prioritize and multitask for complex tasks with competing deadlines. Simultaneously, the ability to service internal stakeholders with professionalism and poise in critical situations.  Must be able to proactively manage and execute daily tasks and responsibilities in addition to priority, deadline-driven tasks that are revenue generating.

 

Background in IT, Education, Research, teaching, or HR is an asset for the required skills within those subject areas.

 

Responsibilities:

 

  • Respond to research bids for both Info-Tech (IT) and sub-division McLean (HR).
    • This includes meticulously filling out forms using PDF editor, and working with legal to ensure all forms are redlined, marked/up and approved before finalization.
  • Project management: Respond to and lead bid completions for purchasing contract awards (Subscription as well as Consulting purchasing contracts).
  • Advise various internal stakeholders on public sector and commercial sales best practices and procedures. This includes but is not limited to procurement tips, collateral/proposal documentation, negotiation tactics, how-to protocols, compliance, risk, and legal requirements.
  • Daily task - Search Bid sites and bid emails, evaluating those that are in-scope to our services, and email potential opportunities to the proper contacts.
    • Coordinate, collaborate, and document in our tracking system of the bid responses passed over as well as those bids to which we will respond. Tracking of bids won and lost (and the details of each) is a daily tasks with other revenue generating deadline-driven tasks.
  • Ongoing tasks – Create/edit templates, and various how-to resources/guides, email templates, training decks, marketing content, IP documentation, and bid writing content to be used by all ITRG staff to aid in bid responses or sales cycles. These are to be professionally written and designed to be posted on the bids & contracts resource center (intranet page).
  • Coordinate and work with MPs to lead major bid responses, contract, and/or proposal initiatives and sales pursuits.
  • Responsible for helping build proposal collateral and sales collateral within the bids & contracts resource center (intranet) both independently and with marketing, products, legal, finance, design, and other team members.
  • Advise deal reviews for Research bid opportunities. This includes scrupulous attention to requirements, both legal and otherwise, and flagging issues.
  • Coordinate and work with consulting on process improvements such as our intranet resources for frequently needed information, making it accessible and helpful to sales and sales leadership.
  • Assist in developing and maintaining the Bids & Contracts team processes such as auto response, email templates, and distribution emails. This includes the ability to forecast needs and creating tools for those needs along with anything that arises on an ad-hoc basis.
  • Coordinating and managing the public facing relationships with various Federal, State, and
    Provincial clients. This includes the ability to build professional relationships, work within various teams to create and execute relationship sustaining and revenue generating projects, building appropriate documentation for website landing pages, brochures, and using PowerPoint to market the company’s specific skills per the requirements.
  • Understand nuances of purchasing contracts (Both IT and HR) to advise sales teams on how to use them, when to use them, and where to locate resource material for sales cycles.
  • Assist in building updated collateral for products per purchasing contract as well as templates for re-use within bids and overall Public Sector sales pursuits. This includes updating collateral regularly when company information and offerings change. (Ongoing tasks and stretch projects).
  • Supporting sales with public sector specific strategies to increase sales and reduce lag time in sales cycles.
  • Quickly become knowledgeable and understand all Info-Tech and McLean Public sector purchasing contracts.
  • Assist with transition between RFP acceptance and contract execution. This includes working with legal and formalizing final agreements, signatures, and compliance plans, where required.
  • Backup assistance in answering commercial team questions for government contract vehicles. Occasionally facilitate government contract vehicles to the commercial teams.
  • Gain understanding of the bid, proposal and contract review process for documents related to public sector sales, contracts, vendors of record and bid responses.
  • Initial reviews of select bid documents, flagging issues for Legal to review.
  • Assist Public Sector Team (Managing Partners and sales teams) and Legal as required.
  • Assisting Legal and Public Sector sales team with updating and managing government contracts including modifications.
  • Assisting with maintenance and posting of sales and contractual documents on intranet sites as well as the Public Sector Bids and Contracts Resource Centre.

  • Ability to multi-task, prioritize, and work to achieve deadlines in complex and dynamic situations.
  • Strong service skills (both internally and customer-facing).
  • Ability to say no or push back to protect Info-Tech’s interests (internally and externally).
  • Thrive in a paperless environment. Adept at learning new technology. Proficient with Microsoft Office Suite.
  • Salesforce experience is an asset; however, the willingness to learn this CRM software is essential.
  • Project management skills are required for day-to-day tasks.
  • Able to handle high stakes projects with complexities and high revenue generating responses and sales cycles.
  • Able to handle competing tasks at once with continuous new incoming tasks to manage and execute.
