Hiring Range: $53,679 - $63,157.

Position Overview:

The Senior Accounting Coordinator is responsible for processing vendor invoices & expense claims, supporting Accounts Payable, Accounts Receivable and other general accounting functions for the Ivey Business School Foundation (IBSF). This role performs all payroll administrator related tasks for the Ivey Foundation.  This role ensures all expense claims, vendor payments, general journals, bank reconciliations and month/year-end working papers are completed in a timely and accurate manner and provides general administrative support to Director, Finance and Chief Financial Officer.              

Responsibilities:

Invoice Processing, Vendor Payments, Corporate Visa Purchase Card Transactions, General Journals & Balance Sheet Account Reconciliations 

  • Timely and accurate processing of vendor invoices and payments for IBSF.
  • Adherence to internal processes and corporate policies related to purchases, payables, and payments to ensure all expenditures are valid business expenses.
  • Completion of payment cycle – issuing vendor cheques for IBSF.
  • Preparation of general journal entries, balance sheet account reconciliations & month/year-end working papers for IBSF.
  • Processing and reporting of IBSF corporate VISA purchase card transactions.
  • Determining the validity of expenditure as well as accuracy of coding of expenditure.
  • Ensuring appropriate back-up and authorization obtained for expenditure.

IBSF Payroll Administrator Tasks

  • Timely and accurate monthly payroll processing for the Ivey Foundation employees.
  • Prepare all necessary payroll monthly journals: EHM, HSA, WSIB, OT allocations and ADP billing.
  • Perform all necessary year-end payroll related tasks (RRSP reconciliation & adjustment, T4 validation, EHT/WSIB reconciliation).
  • T5/T2202/NR4 form generation and filling.
  • Assist with year-end payroll related audit inquiries.

IBSF Cash Management (Wire, EFT, Transfers, HST) & Weekly Bank Reports

  • Preparation of general journal entries, bank deposit, bank reconciliation, prepaid reconciliation, month/year end working papers, record retention, HST preparation & filing.
  • Preparation and submission of all outgoing wire payments.
  • Preparation of bi-weekly EFT payments.
  • Preparation of bi-weekly cheques.
  • ScotiaConnect account balance monitoring, transfers & and bill payments.

IBSF Expense Claim Review and Submission

  • Timely and accurate processing of IBSF expense claims, verifying accuracy and approvals.

General Admin Support & Other Tasks

  • Act as backup for Senior Accounts Receivable Coordinator, Senior Accounts Payable Coordinator and Senior Financial Analyst as needed.
  • Organizing filing system for easy access to information.
  • Provide general administrative support to Director, Finance and Chief Financial Officer and assist with other miscellaneous projects as required.

Qualifications: 

Education and Experience: 

  • Post-secondary diploma in Accounting required; University degree in Accounting preferred.
  • Minimum 2 years of experience in computerized accounting function.
  • Completed or willingness to enroll and complete the Payroll Compliance Practitioner (PCP) program.
