Training Coordinator

OSG is looking for a Training Coordinator to join our remote Training Team.  This is a contract position covering a maternity leave.  

Working alongside the Program Manager, Training, this role will help to ensure the efficient and effective operations of the department by owning administrative support, inventory management and resource scheduling.

As a remote first organization, this role is a work from home position. 

What will you do in this role?

  • Review client requests for courses and schedule appropriate resources, (including subcontractors and third parties) according to team competencies, geography, urgency and schedule optimization
  • Book third party locations such as hotels, conference centers for public course offerings and coordinate rates, amenities, room setups and service agreements
  • Capture material requests from trainers and generate course packing lists to share with Shipping Assistant
  • Create SOPs documenting departmental processes
  • Liaise with Curriculum Department re: course versions, and collateral 
  • Set up Distance Learning courses using our digital tools and provide administrative support during the duration of the course
  • Run and prepare a variety of reports detailing resource utilization, geographic trends, course delivery and client feedback
  • Schedule internal meetings and prepare agendas and necessary materials
  • Ensure Salesforce data is accurate and up to date 
  • Administratively manage vehicle fleet including scheduling regular maintenance appointments and rotating based on use, etc
  • Ensure team specific equipment is available and inventory is logged appropriately 

What can you bring to the table?

  • Post Secondary Education or equivalent experience
  • 2-3 years previous experience as a scheduler or coordinator at healthcare setting, hospitality or logistics operation
  • Experience using scheduling software, CRM, salesforce is a bonus
  • Excellent organizational and time management skills
  • Proven history of successfully juggling multiple priorities with limited oversight
  • Ability to work in a fast paced environment with changing priorities
  • Ability to work effectively with cross functional teams,  influence without authority and make decisions with confidence
