Job Description
Position Purpose
The Program Coordinator, part of the Training & Development group, is responsible for administering the delivery of ITRG learning solutions, programs, and services to clients over the full course of the learner engagement lifecycle.
Key Responsibilities:
As a Program Coordinator, you will:
- Develop and execute coordination/administration procedures for developing, selling, and delivering learning products.
- Schedule and track a variety of multi-week programs, providing regular reporting and communications to partners.
- Own the registration of new cohorts and learners in multiple software systems.
- Track customer utilization of purchased Training & Development credits/entitlements.
- Set up new course/cohort frameworks in both the learning management system and Salesforce.
- Support the registration/onboarding and certification/offboarding of learners in multiple software systems.
- Identify and escalate issues with software systems supporting learning delivery and recommend opportunities to improve them.
- Support the collection of learner and decision maker/sponsor feedback.
- Respond to internal and customer inquiries in a timely manner.
- Prepare a variety of reports for both internal and client use.
- Maintain Training & Development administrative files and data.
- Work closely with internal teams to navigate delivery logistics, scheduling changes, and other tasks as they arise.
- Work with facilitators to provide live in-session support to learners. Manage breakout rooms and troubleshoot technical difficulties as required.
Essential skills:
- College diploma with 1-3 years of experience in coordination/administration.
- Excellent precision with data and documents.
- Intermediate skill and experience in designing and working with Excel spreadsheets.
- Intermediate skill in both Word and PowerPoint.
- Adaptability and enjoyment in learning new technologies quickly.
- Ability to apply structured problem solving and process skills to complex problems and projects.
- Excellent organizing and time management skills, with ability to handle multiple priorities, meet daily deadlines, and respond to changing focus.
- Strong written and verbal communication skills.
- Strong customer focus.
- Exceptional interpersonal and collaboration skills.
- Ability to thrive in an entrepreneurial and collaborative work environment.
Desirable:
- Intermediate skill with Microsoft Teams.
- Experience in administration of learner experiences within a learning management system (specifically Docebo).
- Experience with customer relationship management systems (specifically Salesforce).
- Experience with Microsoft SharePoint.

Language Skills: Bilingual proficiency in French, Spanish or German is preferred to support our diverse client base across North America and globally.
