This is a hybrid temporary opportunity for up to 18 months based out of our Toronto or London office. Successfull canddiate would be required to travel to Toronto office location minimum once a month or as advised by the business.

Salary From: $71,720.18

Job Summary

Control and analyze payroll daily, weekly and monthly input/output to and from the Payroll system with the other system feeds (HR, IFS, PeopleSoft, Pension).

Ensure the integrity, accuracy and consistency of the HR and Payroll data flow by generating variance/change reports to conduct quality control reviews, compare to the appropriate data sources

Data management to ensure sufficient storage capacity and files to be archived and cleaned up.

Administer and control WSIB Prepaid Benefits Plan for each member to ensure employee's savings are invested at the appropriate market rate.

Prepare various system workarounds, variance analysis and manual processes in compliance with the internal control.

Run standard payroll biweekly and monthly reports, support mail merge and the payroll register SharePoint distribution.

Major Duties & Responsibilities
  • Payroll Processing Management:
     
Complete The WFN Translator Program Process Steps Below
  • Conduct comprehensive review, analysis, balancing, reconciling comparing data sources against daily and biweekly control and system reports to ensure integrity/quality of the data are fed to the Payroll system
  • Create detailed file for all adjustments to ensure transactions are accurately updated in the Payroll system and as the audit trail
  • Where necessary adjust transactions within the Payroll and HR record when the interface files are processed
  • Manage the WFN 1st Translator Program Run as follows:
    • Review error messages in the import log to identify files that require manual workaround
    • Update changes manually in WFN and prepare and import the template
  • Manage the WFN 2nd Translator Program Run as follows:
    • Manually process the translator program upon completion of importing the standard templates and the manual workarounds to review the exception error report, change report and import error log to ensure all rejects and errors are cleared
  • Run macro report for file comparison and control
  • Investigate, analyze and correct any differences between the electronic file information, payroll control reports, and summary and escalate if necessary
  • Manage and administer end to end payroll activities including, WFN importing, employee set-up, manual workaround processes, LTD benefit update, submission of payroll preview, pay data consolidation reports review ; daily/biweekly import file reconciliation, etc.
  • Generate/Run biweekly consolidation/audit/control reports in accordance to internal control guidelines
  • Review, balance and loaded batch files
  • Maintain, reformat and interface all the data files to the Payroll system according to the internal control/legislative guidelines, e.g. the employee/pensioner taxable benefits to the payroll system monthly and annually, biweekly fitness bonus, Home Travel, Prepaid Leave interest etc.
  • Submit preview run as required
  • Database Administration and Business Analytics:
  • Administer and monitor the bi-weekly/annual feeds to be Secured File Transfer Protocol (SFTP) to and from WSIB and the pension vendor, and execute manual work around if required
  • Run/SFTP bi-weekly/monthly/annual custom reports as per schedule and SFTP to the designated site
  • Run and distribute payroll reports to the Payroll SharePoint BA folders, and also responsible to update/manage the BA folders
  • Administer and manage mail merge process to merge WFN file with PSHR employee file for new hires in order to send info/instructions for self-portal registration
  • Run control/audit reports utilizing WFN reporting tool, and PeopleSoft queries for the biweekly/monthly payroll transmission audit review
  • Manage and administer the EPP cash lump sum payroll end to end activities including reconciliation, payroll transmission, WFN importing, employee set-up etc.
  • Provide system maintenance to optimize computer storage capacity by updating automatic feeds, compressing database, archiving historical data/reports and ensuring proper backup
  • WSIB Prepaid Benefits Plan:

Responsible for the Prepaid Leave Plan end-to-end activities, which include:
  • Maintaining the investment portfolio of the plan to ensure employee's savings are calculated according to the appropriate market rate
  • Creating a computer file to track plan members' savings and calculating/accruing interest according to the set rate
  • Setting up deductions for new members who are joining the plan; or updating payroll, computer and bank record for the withdrawal
  • Preparing refunds of principal and interest payments to exit plan members due to leaves of absences, LTD, maternity leaves, other personal reasons or termination of employment
  • Updating payroll; reviewing monthly interest accruals for each plan member to ensure accuracy of calculations
  • Provide assistance and technical support to the Manager by:
  • Participate and assist in system/project testing such as pension/benefit rate changes, legislative changes
  • Work with Payroll Accountant/Coordinator to develop new business processes/procedures and/or make recommendations for enhancement
  • Act as a subject matter expert and technical resource for employees, payroll staff and other business areas:
  • Main point of contact for user function system support including
  • Respond to enquires regarding access to WFN and electronic payroll reports in SharePoint
  • Quality control review, at the daily and biweekly automated files to and from the source systems
  • Train and assist staff and new employees on payroll and other related systems processes
  • Responsible for the ongoing “SOP” update due to processing changes/enhancements
  • Year-end Payroll Activities:
     
Participate And Assist Year-end Activities By
  • Creating year-end adjustment files/records and maintaining audit records
  • Providing financial transactions to the Payroll Accountant/Coordinator for the preparation of the year-end GL journal entries and year-end reporting
  • Calculating and preparing annual prepaid leave interest payments to each plan member and providing annual principal/ interest statements to HR/plan members
  • Run, review, verify, and archive various payroll files/control reports. Prepare PS-GL journal entries for payroll expenses/liabilities as required.
  • Knowledge of using payroll sub-system, ADP WFN, P/S HR system, financial system, WSIB mainframe, and non-payroll applications for payroll control, analysis, legislative/payroll processing knowledge, and resolve issues as appropriate.
  • Perform other related duties as assigned or required, such as backing up other team members (this also includes the Payroll Accountant/Coordinator) during peak periods, vacation and absences.
     
Education

Job Requirements:
  • Post secondary diploma up to three years with certification in Payroll Compliance Practitioner.
     
Experience
  • Two years and six months experience in payroll, payroll systems and legislative requirements.
