POSITION
The Events/Program Coordinator, Youth and Volunteer Experience will work with national Let’s Talk Science staff, local event coordinators and event partners to plan and direct the execution of Let’s Talk Science events such as symposiums and competitions. The incumbent will support partnerships with organizations who collaborate or support these events. This could include virtual and/or in-person events.
Responsibilities:
? Manage the lifecycle and successful delivery of Let’s Talk Science events
? Contribute to planning including timelines, milestones, and deliverables
? Keep deliverables and project timelines on track through tracking event planning progress, working with, and reporting back, to the national cross-organization project team
? Coordinate collection of information from events including schedules, registration information, needs and other documentation necessary to ensure success
? Allocate and track use of national resources, balancing the needs of all events, while ensuring completion of all events within resourcing constraints
? Provide full support to event leads, including ensuring execution of the event and communication with stakeholders
? Coach local and regional event organizers, ensuring adherence to timelines and standards while providing learning opportunities to them
? Coordinate physical materials, as needed (such as prizes and swag)
? Contribute to developing and maintaining national materials related to the events including youth and educator resources, guides, suggested activities, registration processes and planning materials
? Ensure educators, youth and volunteers have a high quality experience; this includes but is not limited to adequately promoting the event, ease of registration, prompt responses to inquiries directed to the National Office, a positive experience during delivery, and appropriate follow up
? Collaborate with other teams on demand generation, donor recognition and reporting
? Prepare event information for import into Let’s Talk Science/Parlons sciences central database, as appropriate
? Support the engagement of industry professional volunteers and donor volunteers within the events, including coordinating and facilitating event specific volunteer and site coordinator training as needed ? Identify and advise on national issues and opportunities, as appropriate
? Oversee program or event survey implementation and contribute to evaluation, debrief, and change recommendations
? Manage partnerships with other organizations in order to support development and delivery of events
? Represent Let’s Talk Science in various workshops, symposiums, competitions or other events as well as educator conferences as needed, and support and attend the National Training Conference and Regional Training Conferences when budget allows
? Other duties as requested/required that are within the scope of the position
Requirements/Qualifications
? Post-secondary education in a relevant field (event management, communication, science, technology, engineering, math (STEM), education, or event planning) or equivalent combination of education and experience
? Minimum of three years of related experience, including with event logistics; experience with supporting online events
? Significant experience developing and/or delivering learning experiences for pre-K-12 students
? Experience working with relevant technology products, platforms and services
? Bilingualism (English and French) an asset
? Experience leading a project or program
? Experience working with post-secondary students, volunteers, educators and youth
? Previous involvement with Let’s Talk Science an asset
? Willingness to travel to various locations in Canada
? Commitment to the principles of equity, inclusion and sustainability in education
Skills and Abilities
? Strong organizational and self-management skills, with a proven ability to work on multiple projects while maintaining accuracy and attention to detail
? Excellent working knowledge of the formal education sector
? Outstanding oral and written communication skills in both virtual and in-person environments, including in English and/or French
? Strong emotional intelligence and interpersonal skills
? Respect for diverse worldviews and community contexts, and experience working effectively with people of diverse cultures and backgrounds
? Ability to work independently and to collaborate with a team
? Ability to adapt to change, to recognize and take up opportunities, and to escalate or resolve problems quickly
? Ability to work outside of regular hours on occasion
Working Relationships
? Reports to the Program Support Manager, Let’s Talk Science Outreach
? Works with the Communications team to ensure proper web presence on the Let’s Talk Science
corporate website, and ongoing marketing of events, to ensure good attendance
? Works with the Digital Development team to showcase digital resources (for youth and educators) supporting the events
? Works with the Fund Development team to ensure proper donor recognition during events and
reporting
? Works closely with post-secondary Outreach site coordinators and local event coordinators
? Interacts regularly with educators participating in events
? Works directly with partners from the research community and industry to plan and execute additional Let’s Talk Science events, as needed
? Liaises with external vendors as needed
Let's Talk Science has paused the enforcement of our mandatory COVID-19 Vaccination Policy.
