Job Summary
The General Office Administrator will be responsible for all aspects of Administrator, supporting the President and CEO as well as the Senior Management team. This role will include managing a variety of administrative or basic accounting processes, interacting and communicating with all levels of management, completing travel arrangements, calendar coordination and working on special projects in support of corporate initiatives. This position requires a self-starting, responsible and trustworthy team member with high levels of enthusiasm and attention to details.

Responsibilities
 
The duties associated with this position include, but are not limited to:

• Provide direct administrative support to President & CEO and/or Senior Management team including things like making travel arrangements, maintaining Security documentation and calendar, meetings, special projects and events
• Interact effectively with visitors or participate in meetings as needed (ie take minutes)
• Receive and screen all inbound general telephone calls and emails
• Maintain various filing systems and basic databases
• Monitor and maintain adequate office supplies and replenish as needed
• Monitor and maintain in house store inventory and order items as required
• Work with the Security Officer to ensure measures are enforced at all times with respect to visitors
• Work directly with Human Resources on various HR administration tasks as needed
• Assist with ordering lunches and preparation of refreshments for guests and/or Management meetings
• General mail/fax sorting and distribution
• Organization and booking of boardrooms
• Support Accounting team with tasks such as: Cheque processing, reconcile vendor statements, Petty Cash Management, process travel expense reports
 
Skills
• College diploma in Business Administration preferred
• 3-5 years related experience
• Communication skills in Ukrainian and/or Polish would be an asset
• Strong knowledge of general office procedures including travel arrangements
• Ability to anticipate needs and work independently with minimal supervision
• Ability to communicate, both written and verbally, in a professional manner with internal and external stakeholders
• Computer literacy, including effective working skills of Microsoft Office programs (Word, Excel, Power Point, Outlook, Visio)
• Meticulous records maintenance skills with the highest attention to detail
• Experience in handling confidential and/or sensitive information with the utmost discretion
• Ability to pass a Security Clearance process
• Comply with the Company Health & Safety rules and regulations in accordance with the Act
