Job Description
We are hiring for our Consulting Division for a Consulting Operations Manager. The Consulting Operations Manager supports the growth, operational efficiency, change and management of the division, across a number of dimensions, including: project administration, sales (pipeline) opportunity management, invoice management, vendor management, subcontractor and contract management, staffing and capacity management on a project-by-project basis, Intellectual Property, and support for the monthly financial close process.
The fast-paced environment of Consulting requires multitasking, superior organizational skills, strong customer focus, innovative and very proactive thinking, along with excellent written and oral communication skills.
As the Consulting Operations Manager you are responsible for operational execution and excellence of the Consulting division at Info-Tech:
Operational Execution includes:
- Creation of new projects and new accounts (e.g. new employees, contractors) using standard Info-Tech systems.
- Employee time tracking including compliance with policy, completeness and accuracy.
- Invoice management, including accurate, timely creation, issuance and follow-up if needed, and forecasting to correlate with the monthly revenue forecasting, as well as invoice reconciliation between Salesforce and time tracking systems.
- Working with Finance to facilitate month end procedures, including re-billable project expenses, non-billable expenses, invoice preparation and reconciliation, and Commission data to support sold opportunities
- Reviews, reconciles, and processes project expense reports monthly.
- Liaises with Finance to resolve billing and expense issues.
- Leads Consulting onboarding activities including training new employees on the time tracking system and other standard Info-Tech systems (Salesforce, SharePoint, etc.), and liaises with HR as needed to facilitate the efficient onboarding/offboarding of employees
- General resource to assist in answering questions and resolving issues (both employee and system-related) in a timely manner to support the on-going operations of the Division
- Data input to various applications, as required.
- Backfill for resources on PTO
- Participates in reviewing forecasting and utilization reports.
- Assists business development team in maintaining sales funnel accuracy and timeliness.
- Coordinating with Consulting leaders from across North America to forecast team & group utilization as well as assisting in assigning employees to client-facing and other activities.
Operational Excellence
- Identifies opportunities for process improvement and implements approved changes.
- Identifies checks and controls to ensure accuracy, compliance and completeness of Consulting operational support.
- Conducts training sessions to train the Consulting group on operational and administrative topics.
- Leads or assists with internal development projects, working with service line managers on key initiatives.
Education and Experience:
- University degree or College diploma in Business or IT an asset.
- Strong MS Office skills, with very strong Word, Excel and PowerPoint skills.
- Knowledge of office management procedures.
- Experience with Salesforce, Acrobat and DocuSign.
- 3+ years working experience in a fast-paced Consulting or professional services environment.
- Prior experience in multi-faceted corporation preferred.
- Understanding of general business administration and experience related to accounting and/or professional service organizations.
- Demonstrated ability to learn new systems and implement processes.
